Why Nepali Factories Are Outgrowing Spreadsheets and Basic Billing
Most manufacturers in Nepal begin with a familiar setup: billing software for VAT invoices, an Excel file for stock, a register in the godown, a production notebook on the floor, and a ledger of dealer balances that only the accountant fully understands. It works when there are a handful of products and the owner sees every truck leave the gate. It starts to fail as soon as the factory adds a second shift, a new product line, a depot in another city or a larger dealer network.
The symptoms are well known. Stock in the system never matches the godown. Nobody can say with confidence what a carton of finished product really costs this month. Raw material runs out unexpectedly because an import was delayed. Sales reps promise delivery dates that production cannot meet. Dealer balances grow quietly until one large account becomes a serious problem. Manufacturing ERP in Nepal exists to fix exactly these issues by putting every flow, from purchase to payment, into one connected system.
Nep Tech Pal builds custom production management software for Nepali manufacturers and also implements Oracle NetSuite for those who need a full cloud ERP. This page walks through the modules that matter, Nepal-specific requirements, how we deliver, how to compare options and what drives cost. For the bigger picture, see our guide to IT solutions for manufacturers.
Core Modules of Manufacturing Software
Not every factory needs every module on day one. But a good factory management software design considers all of them so that early modules do not have to be rebuilt later.
Bill of materials (BOM) and recipes
The BOM is the foundation of production control and costing. It defines exactly what goes into each finished product: raw materials, packaging, consumables and sometimes labour and overhead. For a noodle factory it is a recipe of flour, oil, seasoning and wrappers per carton. For a garment unit it is fabric, thread, buttons, labels and packing per piece. For a pipe plant it is resin and additives per metre or kilogram.
- Multi-level BOMs for semi-finished goods such as dough, seasoning premix, cut fabric or moulded parts.
- Alternative materials when a supplier changes or an import is delayed.
- Standard yield and expected wastage percentages defined by you, so variances can be measured.
- Version history, so you know which recipe was used for which batch.
- Unit conversions, for example bags to kilograms, rolls to metres or cartons to pieces.
Production planning and production orders
Production orders tell the floor what to make, how much and when. The system reserves or issues raw materials based on the BOM, records actual consumption, captures output and wastage, and moves finished goods into store. Planning screens show pending dealer orders against available stock, helping the production manager decide what to run on which line and shift.
- Production orders by line, machine or shift.
- Material issue slips generated from the BOM, with actual consumption recorded.
- Output entry with good quantity, rejected quantity, rework and by-products.
- Downtime reasons such as power cut, machine breakdown or material shortage.
- Simple capacity view to avoid over-promising to sales.
Batch and lot tracking
For food, dairy, water, pharmaceutical, herbal and cosmetic producers, batch tracking is essential. Each production run gets a batch number linked to the raw material lots used, the date and shift, QC results and expiry date. When a complaint arrives from a retailer in Dharan, you can trace the batch back to its ingredients and forward to every dealer who received it, within minutes rather than days.
Raw material and inventory management
Inventory and raw material software keeps track of every item from purchase to consumption. It covers purchase requests, purchase orders, goods received notes, gate QC, godown locations, issue to production, returns and stock adjustments with approvals. Reorder levels and lead times, including longer lead times for imported materials, trigger alerts before you run short. Our inventory management software service covers this module on its own for factories that want to start here.
Costing
Costing is where many factories have the biggest blind spot. Good costing software calculates standard cost from the BOM and compares it with actual cost based on real consumption, purchase prices, wastage, labour and allocated overheads. You can see cost per unit by product, batch or month, and spot when rising raw material prices or higher wastage are eating into margin. Costing logic is agreed with your accountant so management numbers reconcile with the books.
Quality control
QC modules record incoming material inspections, in-process checks, final product tests and batch release. Parameters differ by industry, for example moisture and oil content for snacks, fat and SNF for dairy, TDS and pH for water, GSM and shrinkage for fabric, or diameter and wall thickness for pipes. Failed checks can block a batch from dispatch until it is approved, preventing accidental release of non-conforming goods.
Sales, dispatch and multi-depot distribution
Sales orders from dealers, sales reps or the office feed a dispatch plan. The system generates delivery challans and VAT invoices, tracks vehicles and drivers, records partial dispatches and returns, and moves stock between the factory and depots. Depot managers see their own stock and sales; head office sees everything.
Dealer credit and collections
Udharo is part of how manufacturing works in Nepal, so distribution and dealer management software must handle credit carefully. Each dealer has a credit limit and credit days. Orders that exceed the limit can be held for approval. Cheques are tracked from receipt to clearance or bounce. Ageing reports show balances by 30, 60 and 90 days, and automatic SMS reminders can go to dealers before due dates. Schemes, discounts and targets are configured per dealer category or territory.
Factory workforce, attendance and payroll
Factories often combine permanent staff, daily-wage workers, piece-rate workers and contractors. Payroll needs to handle shift attendance, overtime, night allowances, advances and deductions, SSF contributions and leave, and produce payslips and bank transfer sheets. Attendance can come from biometric devices, card systems or supervisor entry on a tablet. Our HR and payroll software can run as part of the manufacturing system or on its own.
Maintenance
Basic maintenance tracking records machines, scheduled servicing, breakdowns and spare parts. Linking breakdowns to production downtime helps owners see which machines are costing the most output and where investment would pay back.
Reports and dashboards
Owners and managers need daily production versus plan, stock by location, raw material cover, pending orders, dealer receivables and ageing, product costing, wastage by line, and attendance and overtime summaries. Reports should be available on a phone as well as a desktop and exportable to Excel when your accountant needs it.
Nepal-Specific Requirements We Build In
Generic ERP products often need significant adjustment to suit Nepali practice. These are the requirements we plan for from the start.
- Bikram Sambat dates and the Nepali fiscal year. Date entry and reports in BS, with month-end and year-end closing aligned to Shrawan through Ashadh, while storing AD dates where needed for imports and international reporting.
- VAT and excise in the right format. Invoices, credit notes, sales and purchase registers designed with your auditor so they match IRD expectations. Products subject to excise are handled separately. We do not give tax advice; we implement what your accountant confirms.
- Dealer credit, cheques and schemes. Credit limits, credit days, post-dated cheque tracking and scheme calculations that reflect how Nepali distribution works.
- Multi-depot and in-transit stock. Goods loaded at the factory for a depot in Kathmandu or Nepalgunj appear as in transit until received, so stock never disappears between locations.
- Imported raw materials. Purchase orders linked to LC or import timelines in general terms, landed cost allocation for freight, customs and transport, and expected arrival dates for planning.
- Offline-tolerant data entry. Floor and depot entry that continues during internet outages and syncs afterwards.
- Nepali and English interface. Nepali labels for floor and store users where preferred, English for management and finance.
- Bulk SMS on NTC and Ncell. Order confirmations, dispatch alerts and payment reminders sent automatically to dealers.
Excel vs Accounting Software vs Custom System vs NetSuite
Choosing the right route depends on your size, complexity and growth plans. Here is a practical comparison.
| Capability | Excel and registers | Accounting or billing software | Custom manufacturing system | Oracle NetSuite |
|---|---|---|---|---|
| VAT invoicing | Manual, error-prone | Yes | Yes, designed with your auditor | Yes, with localisation |
| BOM and production orders | Manual sheets | Limited or none | Yes, fitted to your process | Yes, mature manufacturing modules |
| Batch and expiry tracking | Very difficult | Limited | Yes | Yes |
| Actual product costing | Occasional estimate | Limited | Yes | Yes, with standard and actual costing |
| Dealer credit and schemes | Manual ledgers | Basic ledgers | Yes, Nepal-style workflows | Yes, may need customisation for local schemes |
| BS dates and Nepali screens | Manual | Varies | Yes | Achievable with configuration |
| Offline mobile apps | No | Rarely | Yes | Via integrated custom apps |
| Best for | Very small units | Small manufacturers | Growing factories with specific needs | Larger or multi-entity manufacturers |
Many manufacturers end up with a hybrid: NetSuite or accounting software as the financial core, with custom dealer apps, floor data entry and SMS around it. We offer NetSuite services and custom development, so our recommendation is based on fit rather than on what we happen to sell.
When NetSuite Makes Sense for a Manufacturer
Oracle NetSuite is a cloud ERP with mature inventory, manufacturing, procurement, order management and financial modules. For Nepali manufacturers, NetSuite manufacturing tends to fit when one or more of these apply: you operate several companies or plants and need consolidated reporting; you have foreign investors, export customers or group reporting requirements; you want a proven ERP rather than building one; or your finance team needs advanced controls and audit trails.
NetSuite still needs careful setup for local practice: BS reporting views, VAT invoice formats agreed with your auditor, dealer schemes and credit workflows, and integration with local SMS and payment methods. Our NetSuite solution consultants handle configuration, data migration, custom scripts and training, and we can build Android apps for dealers and the floor that connect to NetSuite. If NetSuite is more than you need today, we will tell you and suggest a custom system that can integrate with it later.
How Nep Tech Pal Delivers Manufacturing Software
- Discovery and process mapping. We walk through procurement, production, QC, dispatch, dealer credit and payroll with the people who do the work, collect sample documents and identify the biggest pain points.
- Solution design. We recommend custom, NetSuite or hybrid, define modules and phases, design master data structures and agree on reports. You receive a written scope before development starts.
- Prototype and screen design. Key screens such as production entry, goods receipt, dealer order and dispatch are designed and reviewed with real users, including floor supervisors.
- Build in phases. We develop module by module, showing working software regularly. Early modules such as inventory and dealer credit can go live while production and costing are built.
- Testing with your data. Our software testing covers real BOMs, real dealer cases, partial dispatches, returns, price changes and month-end closing.
- Data migration and go-live. Opening stock, dealer balances and product masters are imported and verified, often aligned to the start of a month or fiscal year.
- Role-based training. Store keepers, supervisors, QC staff, accountants, sales coordinators and management each get focused training in Nepali or English.
- Support and improvement. After launch we provide fixes, enhancements and help with the next phase.
Technology Stack
For custom manufacturing systems we typically use React or Next.js for the web interface, Node.js, Django or Laravel for the back end, and a relational database suited to transactional inventory and accounting data. Mobile modules for dealers, sales reps and floor supervisors are built with Flutter or React Native, Android-first, with offline storage. Barcode and QR labels can be generated for raw material lots, batches and cartons, and scanned with handheld scanners or ordinary phones. Systems are hosted in the cloud with backups and monitoring, or on-premise where there is a specific reason. For ERP projects we work on Oracle NetSuite, using its configuration tools and scripting for customisation.
Security and access control are part of the design, not an afterthought. Each user sees only the screens and locations relevant to their role: a depot manager cannot change factory BOMs, and a sales coordinator cannot edit dealer balances. Every important change is logged with the user and time, which helps during internal reviews and audits.
What Drives the Cost of Manufacturing ERP in Nepal
We do not publish fixed prices for manufacturing software because two factories rarely need the same thing. These factors shape the estimate:
- Modules in scope. Inventory only, or inventory plus BOM, production, QC, costing, dispatch, dealer credit, payroll and maintenance.
- Production complexity. Single-stage packing is simpler than multi-stage processes with semi-finished goods, by-products and rework.
- Locations and users. More plants, depots and user roles mean more permissions, transfers and training.
- Mobile apps and offline sync. Dealer, sales rep and floor apps with offline capability add significant effort.
- Integrations. Accounting software, NetSuite, biometric attendance devices, weighbridges, barcode printers and SMS gateways.
- Custom vs NetSuite. Custom systems involve development cost; NetSuite involves subscription plus implementation and customisation.
- Data migration. The state of your existing data affects how much cleaning is needed.
- Support level. Hosting, response times and enhancement hours after go-live.
We usually propose a phased plan so you can start with the module that solves your most expensive problem and spread investment over time.
Hypothetical Scenarios
The following are illustrative examples only, not client results.
Noodle factory with 60 dealers
For example, a noodle factory in Butwal supplying 60 dealers across several provinces might start with dealer credit, order management and finished goods stock across the factory and two depots. Once dealers are ordering through the system and receiving SMS dispatch alerts, phase two could add flavour-wise recipes, production orders and batch numbers, with costing showing how changes in flour and oil prices affect margin per carton.
Garment unit in Lalitpur
A garment manufacturer making school uniforms and corporate wear might need order-wise BOMs, cutting and stitching job cards, piece-rate wages per operator, and a view of which orders are behind schedule before the school season. Fabric roll tracking would help reduce unexplained losses.
Water bottling plant in Itahari
A bottling plant might prioritise batch records with QC parameters, jar and bottle returns from dealers, route-wise delivery and daily cash and credit collection by vehicle. Seasonal demand spikes in summer would make production planning and preform stock alerts especially useful.
Feed mill in Chitwan
A feed mill could focus on raw material procurement from farmers and traders, moisture-adjusted weights at receipt, formulation BOMs by feed type, bag-level batch labels and dealer credit, given that poultry and livestock farmers often buy on credit through local agro-vets.
Common Mistakes When Implementing Factory Software
- Trying to go live with everything at once. Phased rollout reduces risk and builds confidence.
- Designing only for the office. If floor entry is slow or confusing, supervisors will go back to paper and the data will be incomplete.
- Skipping parallel running. A short period of running old and new methods side by side catches errors before they reach dealers and auditors.
- Unclear ownership. Someone in the company must own the system, approve changes and push adoption.
- Ignoring costing. Automating billing without costing leaves the most important management question unanswered.
- Not planning for power and internet failures. Offline tolerance and backup power for key points prevent stoppages.
- Choosing on licence price alone. Implementation, training, data migration and support often matter more than the software price.
Vendor Checklist for Manufacturing Software
- Do they ask detailed questions about your BOM, batches, wastage and dealer credit?
- Can they explain both custom and NetSuite options and when each fits?
- Do they support BS dates, Nepali fiscal year reporting and VAT-ready invoice formats agreed with your auditor?
- Will floor and sales users get mobile or tablet screens that work offline?
- Is data migration included, and who cleans the master data?
- Who owns the source code and the data, and how are backups handled?
- What training is included for each role, and in which language?
- What are the support response times after go-live?
- Can they also provide related services such as bulk SMS, dealer apps and the website?
Barcode and QR Labelling: Making Data Entry Fast and Accurate
The weakest point in most factory systems is manual typing. A store keeper keying in item codes at the end of a long shift, or a dispatch clerk writing batch numbers onto a challan, will make mistakes. Barcode and QR labelling removes much of that risk and speeds up every transaction.
- Raw material lots. Labels printed at goods receipt carry the item, supplier, lot and date. Scanning at issue links each lot to the production order that consumed it.
- Batches and cartons. Finished goods labels carry product, batch, manufacturing and expiry dates. Scanning at dispatch records exactly which batches went to which dealer.
- Pallets and godown locations. Location labels on racks help store staff find stock quickly and make stock counts faster.
- Machines and assets. QR codes on machines let operators log breakdowns or checks from a phone in seconds.
You do not always need expensive equipment. Ordinary Android phones can scan QR codes reliably, while dedicated handheld scanners and label printers make sense in high-volume stores and dispatch bays. We help you choose the right mix for your volume and budget.
After Go-Live: Maintenance, Audits and Continuous Improvement
Launching factory software is the start, not the end. In the first months, we typically review usage with you, check that stock and balances reconcile, and fix any process gaps that only appear in real operation. After that, regular maintenance covers security updates, backups, performance monitoring and small enhancements as your business changes, such as a new product line, a new depot or a revised dealer scheme.
We also recommend a simple internal routine: weekly checks of negative stock and unposted entries, monthly stock counts of high-value raw materials compared with system figures, and a quarterly review of reports with management to decide what to improve next. Over time, this discipline turns the system from a record-keeping tool into a source of decisions about pricing, purchasing and production planning. When you are ready to grow sales on top of better operations, our B2B and brand marketing for manufacturers page explains the next step.
